Clients and the client portal
Clients lists everyone you file for: the owners named on the marks in your Portfolio. For each client you can choose who in your team handles them, and invite the client to their own portal, where they follow their marks, read what you share, message you and approve oppositions.
Adding a client
Choose Add client at the top of Clients and type the application numbers of their marks. Nishaan finds each mark and its owner, adds them to your Portfolio and opens the client, ready to invite.
New client, no mark yet. For someone filing their first trademark with you, choose Add client, then New client, no mark yet, and enter their name (as it will appear on the application), email and WhatsApp number. The client opens on New filings.
Filing for many clients? Add your agent codes in Settings, Agency profile, then use Sync from attorney codes in Portfolio. Every application you filed comes in at once, and each owner becomes a client.
Who handles a client
Open a client and choose Take this client, or, as an owner, pick anyone in your team under Handled by. The person who handles a client gets that client's messages and answers first, by email and in the Nishaan app, and the client sees their name in the portal. When nobody handles a client, the firm's owners get them.
On the Clients list, Mine shows only the clients you handle. A member can take a client or let one go; only an owner can give a client to someone else.
Inviting a client
- Open the client and choose Portal access.
- Enter the client's name and email address and choose Send invite.
If you saved an email for the client's monthly report, it is already filled in.
The client gets an email in your firm's name with a link to set a password. Choose Share on WhatsApp to send the same link from your own WhatsApp too, or Copy link to paste it anywhere. The link works for 7 days; choose Resend to send a new one. Remove access ends their sign-in at once.
Inviting several clients at once
Choose Invite clients at the top of Clients. You see every client who is not on the portal and has no invite yet, with saved emails filled in. Tick the ones to invite, add any missing emails and choose Send. Each row then shows Share on WhatsApp for that client's link.
The Clients list shows Invited until the client opens their link.
Ask your client before you invite them. A client sees only their own marks: never your other clients, your team's notes or your firm's settings.
What the client sees
- Each of their marks with its status and the next step you have to take, with the date.
- Updates: every status change of their marks and their oppositions, as it happens.
- Documents: the monthly reports and the PDFs you share.
- Messages with your firm.
- Approvals: oppositions you ask them to decide on.
The portal shows your firm's name. Clients can use it on the web at the address in the invite, or in the Nishaan app.
Messages
Open the client and choose Messages. The client gets an email and, in the app, a notification. Their replies come to the person who handles them. From your clients at the top of the Clients list shows unread messages across all clients.
Sharing documents
Under Documents, share one of the client's monthly reports (make it first in Reports, Client reports), or upload a PDF or an image of up to 10 MB with a title, such as a filed TM-O. Stop sharing takes it out of the portal.
Clients can send you files too: a logo, a signed TM-48, proof of use or an ID proof. They appear in the same list marked From client, and the person who handles the client gets an email.
Asking a client to approve an opposition
From a match in Journal watch, choose Ask client under your mark. Nishaan finds the client, fills in the conflicting mark, the class, the journal and the last date to oppose, and you add your recommendation. You can also start a request under Approvals on the client's page.
The client approves or declines with one tap and can add a note. You get an email, and the answer appears under From your clients and in the client's Approvals. You can withdraw a request while it is still waiting.
New filings
When a client asks you to file a new trademark, or you start one for them, see New filings for your clients.
Invoices and payments
Clients pay your firm directly, by UPI. Nishaan never holds the money; it shows your details and keeps track of what is paid.
- In Settings, Client payments, the owner adds your UPI ID, the name clients see, and your usual renewal and filing fees per class.
- To bill a client, open them and choose Invoices, then New invoice. Add a line for each piece of work with its amount, and a due date if you like. Invoice numbers follow on by themselves (INV-2026-0001 and so on).
- The client gets an email and a notice in their portal and the app. They tap Pay in your UPI app, which opens their UPI app with your UPI ID, the amount and the invoice number filled in, then I have paid.
- You are told. Check your bank or UPI app and choose Mark paid; the client is thanked. Cancel withdraws an invoice.
Renewal reminders
A client on the portal is reminded before each of their marks expires: about 6 months, 3 months, 1 month and 7 days ahead, by email and in the app. Each reminder shows your renewal fee and a button to pay it by UPI. A mark added late gets only the nearest reminder, never several at once.
The Invoices tab of each client lists their renewals in the next 12 months.
Call requests
A client can ask for a call from their portal or the app, with the times that suit them, their phone number and what they want to discuss. The person who handles the client gets an email and a notification. The request shows at the top of the client's page (and on the client in the app): type when you will call and choose Book and tell the client, or Done after the call, or Cannot book. The client is told when you book a time or cannot.
Ratings
Clients can rate your firm from 1 to 5 stars, with a comment, from their account or on a filing once it is filed. You are told of each rating, and Clients shows your average and the latest comments.
